We do not collect any

about you (this includes details about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union membership, information about your health and genetic and biometric data). Nor do we collect any information about criminal convictions and offences.

    may include details of your bank account /payment card details; we do not store your financial data.
  • Transaction data
    may include details of sales/purchase contracts between us.
  • CCTV data
    is collected for the safety and protection of our clinic, stored data, clients and staff; the system is installed to meet the ICO and manufacturers privacy policy guidelines.
  • Medical data
    may be required from you for the purpose of providing a safe treatment to you.

We may require detailed medical information such as details concerning your medication, operations, allergies and other issues affecting your health. We will only collect what is relevant and necessary for your treatment.

  • Treatment data
    may include details of treatment, products and materials used, before and after measurements and before and after photographs if relevant.

When you visit our clinic, we may make notes which include details of your medical and treatment information along with response to treatments taken. This data is always held securely, is not shared with anyone not involved in your treatment, although for data storage purposes it may be handled by pre-vetted staff who have all signed an integrity and confidentiality agreement. To be able to process your personal data it is a condition of any treatment that you give your explicit consent to allow us to document and process your personal data. Contact details provided by you such as telephone numbers, email addresses, postal addresses may be used to remind you of future appointments and provide reports or other information concerning your treatment. As part of our obligations as health and aesthetic practitioners there may be circumstances related to your treatment and on-going care that will require the sharing of your medical records with other healthcare practitioners eg GPs, consultants, surgeons and/or medical insurance companies. Where this is required we will always inform you first unless we are under a legal obligation to comply.

Whilst you have the right to request your personal information to be removed, we have a legal obligation to maintain all of your medical and treatment records for 8 years.

2.2 If you fail to provide personal data

Where we need to collect personal data by law, or under the terms of a contract we have with you and you fail to provide that data when requested, we may not be able to perform the contract we have or are trying to enter into with you (for example, to provide you with goods or services). In this case, we may have to cancel a product or service you have with us, but we will notify you if this is the case at the time.

Timely is our primary client management system, here we will store your contact data as outlined in section 2. Timely system is set up to contact you via email/SMS to confirm any appointment made by you and store any appointments you have made; it is set up to store your medical and treatment information.

4. How we use your personal data

We will only use your personal data when the law allows us to. Most commonly, we will use your personal data in the following circumstances:

  • Where we need to perform the contract we are about to enter into or have entered into with you.
  • Where it is necessary for our legitimate interests (or those of a third party) and your interests and fundamental rights do not override those interests.
  • Where we need to comply with a legal or regulatory obligation.

Generally, we do not rely on consent as a legal basis for processing your personal data other than in relation to sending third party direct marketing communications to you via email, text message or postage.
